Description:

A well established company based in Bryanston is seeking a Personal Assistant / Office Administrator.

Duties:

  • Answering of calls and liaising with clients (Internal and External). Relaying of messages for directors
  • Drafting of correspondence on behalf of directors
  • Planning and organizing meeting for directors
  • Preparing documents for meetings on behalf of the directors as and when requested
  • Preparation of presentations as and when requested
  • Organizing travel arrangements as and when requested
  • Manage the updated contact numbers in directors’ phones
  • Dealing with ad hoc personal requirements for directors
  • General duties for Directors as required
  • Oversee the office maintenance, this includes but is not limited to;
  • Dealing with contractors, including receiving quotes, checking work done etc.
  • Ensuring that windows, carpets etc. are cleaned according to the schedule
  • Ensuring that repairs are done timeously and within budget
  • Ensuring that irrigation is working and gardening services are done timeously are to the required standard.
  • Oversee the housekeeping functions, this includes but is not limited to.
  • Ensuring offices are clean
  • Ensuring that coffee machines are in working order and fully stocked.
  • Ensuring that boardrooms have been opened / closed every day
  • Ensuring that Environmental Hygiene has stocked the bathrooms with consumables
  • Ordering of groceries and stationery within budgets
  • Dealing with contractors and arranging quotes
  • Distributing groceries and stationery
  • Managing the office keys and access to the keys

  • Matric (Grade 12)
  • Relevant tertiary education/certifications
  • Experience in same or similar role of at least 3 to 5 years.
  • Strong problem-solving skills
  • Excellent communications skills
  • Organised and diligent person
  • MS Office (Outlook , Excel)
