ADMIN / GENERAL MANAGER

Our growing borehole and water management business is looking for an admin / office / general manager.

We have a relaxed, easy going and fast paced office environment and we look forward to welcoming the right candidates into our group.

JOB DESCRIPTION:

MAINTENANCE ADMIN Saving reports and inspections Verifying reports and inspections Saving Water Lab Results Ensuring all maintenance reports are saved Ensuring all maintenance reports are sent to clients end of each month SALES SUPPORT General communication and updates Unpacking Initial Site survey into presentation Preparing proposals (using municipal statements, excel templates and powerpoint) Contract Preparation (and automation using panda docs) Client onboarding (On various google sheets) PROJECT MANAGEMENT SUPPORT Assisting project manager with various tasks Booking contractors and ensuring work is carried out Project sheet managmeent General Admin INSURANCE Quotations and price negotiation Claims FLEET Spot Checks on drivers/team - CarTrack Ensuring all vehicles are being tracked Pricing for tracking devices Car Servicing Car Licensing Dealing with car related issues Ensuring all old and new vehicles are branded OFFICE MANAGEMENT Ensuring coffee/tea is stocked up Ensuring popcorn is made daily and is cleaned Printer Ink and Paper Ordering supplies Office Security related (cameras, keys) Computer related matters Ordering and management of staff overalls/clothing MONITORING AND DISPATCH Full Monitoring and Dispatch on certain days (to relieve Dispatch manager) Dispatch Sheet Management Carrying out the full process per Monitoring and Dispatch Process WATER USE LICENSE MANAGEMENT Coordinating WULA with consultants Negotiating pricing Liasing with contractor and project team Liasing with client (OPTIONAL - DEPENDING ON SKILL LEVEL) HR MANAGEMENT Onboarding - admin Onboarding - meeting to discuss policy, driver policy, etc Disciplinary action and meetings Contract preparation

Requirements:

  • Microsoft Office: 2 to 3 years
  • Google Sheets: 2 to 3 years

MUST have the following skills:

Extremely Organized
Very detailed orientated
Young and energetic
Trustworthy
Easy going
Adaptable
Hard working

Microsoft Word. Excel and powerpoint
Google Sheets and Calendar
Appsheets

Degree or Diploma is a plus

NON-SMOKING

MUST HAVE OWN VEHICLE AND A DRIVERS LICENSE

MUST HAVE AT LEAST 3 YEARS EXPERIENCE WORKING IN ADMIN OR RELATED WORK.
