Marketing Operations Coordinator (Job Level 10)

Stellenbosch Business School is currently seeking a marketing operations coordinator for its Marketing and Communications Division. This role will report directly to the Head of Marketing and Communications. The primary objective of this position is the execution of events, processing of the finances of the Marketing and Communications Division, and facilitating collaboration with internal stakeholders for both internal and external events. Moreover, the marketing operations coordinator will act as a liaison between operations and marketing services, ensuring the effectiveness of the marketing service plan in elevating the brand of the Stellenbosch Business School and supporting its key strategic objectives.

Duties:

The incumbent will be responsible for promotions, events, and related initiatives to elevate brand reputation and the Business School brand experience. This role will be responsible for executing the planning, coordination, and hosting school activities. This role also involves meticulous financial management, ensuring accurate capturing and reporting of financial information to facilitate decision-making.

Planning and coordination:

• Implementing comprehensive plans for promotions, events, and related activities, including student farewells, gala dinners, and conference support;

• Collaborating with internal teams and external partners to ensure the seamless execution of events;

• Effectively managing timeliness and resources to achieve set objectives.

Finance:

• Processing invoices and relevant documentation in the SU system according to established guidelines;

• Addressing enquiries related to financial administration;

• Executing payments to suppliers;

• Collaborating with the Business School’s Financial Manager on campus;

• Maintaining organised financial files.

General administration:

• Managing the schedule for all requested functions, including year-end events;

• Assisting with registration during functions;

• Performing general administrative duties;

• Supporting the Head of Marketing with administrative duties;

• Packaging brochures, magazines, and other marketing materials for shipping;

• Managing brand collateral.

Event coordination:

• Coordinating, managing, and implementing external and internal events from inception to conclusion;

• Selecting venues, choosing vendors, deciding on menus, arranging accommodation, coordinating transportation for attendees, and distributing promotional materials;

• Attending events to oversee operations and address any challenges that may arise.

Requirements:

• A relevant three-year diploma with at least three years’ experience in a similar posiiton. Candidates with a one-year post matric qualification may be considered if they can provideevidence of having more than five years’ relevant experience and have exceptional abilities;

• Excellent verbal and written communication skills;

• Strong organisational and planning abilities with excellent attention to detail;

• The ability to multitask and prioritise tasks efficiently in a fast-paced environment;

• Understanding financial processes and experience in processing financial invoices aligned to financial and procurement policies;

• Professional appearance, energetic and excellent interpersonal skills;

• The ability to work after hours and to travel when required;

• Proactive problem-solving skills and the ability to work independently;

• Proficiency in the Microsoft Office suite and other relevant software applications;

• Eagerness to learn and grow within the marketing operations and coordination field.

Recommendations:

• A relevant degree in marketing, business administration, or a related field;

• Basic understanding of marketing strategies and concepts;

• Knowledge of event planning and execution;

• Exprience of working with different stakeholders;

• Knowledge / experience in marketing automation or project management will be advantageous.
